HOTEL RULES Radisson Blu Hotel, Sopot
§1 SUBJECT MATTER
- These Rules apply at Radisson Blu Hotel, Sopot (Hotel) and to all persons using Hotel Services or present in the Hotel or on its premises. The Hotel is located at 54 Bitwy pod Płowcami Street, Sopot.
- Hotel operator: Grupa Hossa S.A. w Gdańsku, ul. Cypriana Kamila Norwida 1, 80-280 Gdańsk, (Service Provider) zarejestrowana w Krajowym Rejestrze Sądowym pod numerem 0000006925.
- Hotel Services means all services provided to Hotel Guests by the Service Provider under these Rules, i.e. hotel services under the Act of 29 August 1997 on tourism services, including:
• hotel room rental,
• food and beverage services,
• events, functions, conferences, etc.,
• conference, restaurant and banquet room rental,
• parking space rental. - Hotel Guest means a natural person using Hotel Services.
- Client means an entity (natural person, legal entity or other organizational unit) using Hotel Services under an individual service agreement (Service Agreement). A natural person using Hotel Services under and pursuant to a Service Agreement is subject, as appropriate, to these Rules concerning Hotel Guests.
- The Hotel Rules set out the terms of providing Hotel Services, the rules for Hotel Guests staying at the Hotel, and the liability of the Service Provider, Hotel Guests and, as appropriate, Clients in connection with providing and using Hotel Services.
- The Hotel Rules form an integral part of the agreement concluded when a Hotel Guest makes a reservation, pays a deposit or the full stay fee, or signs a registration card, or when a Client concludes a Service Agreement with the Service Provider. By taking any of these actions, the Hotel Guest or Client confirms having read and fully accepted the Rules and agrees to comply with them.
- The Hotel Rules are available at Hotel Reception and at www.radissonblusopot.pl
§2 RESERVATIONS
- This section also applies, as appropriate, to reservations made by Clients to the extent not otherwise provided in the Service Agreement.
- To make a reservation, personal data necessary to provide the Services (such as name, email address and mobile phone number) must be provided, and part or all of the stay cost must be paid, depending on the offer rules or individual arrangements. Hotel Guests must provide complete and accurate data only. Guests acknowledge and accept that providing the Service Provider with false or misleading information is prohibited.
- If the offer rules do not require any part of the stay cost to be paid before arrival, the Service Provider does not guarantee the Hotel Guest a room reservation.
- When making a reservation, the Service Provider (or an intermediary acting for it) will inform the Hotel Guest of:
• key reservation details,
• the Service price,
• the Service Provider’s identification details,
• the need to pay extra for services not included in the reservation if additional services are ordered during the stay,
• reservation cancellation terms. - After the reservation, the Service Provider will email the Hotel Guest at the specified address a reservation confirmation with the information referred to in section 5. For phone or in-person reservations, this information will be provided during booking or in another manner agreed with the Hotel Guest.
- If a prepayment is required, it must be paid by the agreed date to the specified bank account.
- If prepayment is not recorded by the deadline, the Service Provider may cancel the reservation.
- Payment may be made in cash, by bank transfer, debit or credit card, or under the terms applicable to the relevant intermediary.
- The Service Provider accepts: American Express, VISA, Mastercard, Maestro, Diners Club International and V Pay.
- If the Service Provider cannot provide the reserved room, the Hotel Guest will be notified promptly. The Service Provider will then provide accommodation at the nearest hotel of a similar standard and cover one round-trip transfer between that hotel and the Hotel.
- The Service Provider makes every effort to ensure that prices shown in the reservation system are correct. However, an obvious technical or system error may result in prices that do not reflect the actual stay value. In such cases, the Service Provider reserves the right to cancel reservations made at incorrect prices. The person making the reservation will be notified promptly and all payments will be fully refunded.
- A Hotel Guest must cancel a reservation in the same manner in which it was made.
- A hotel room reservation may be cancelled no later than 12:00 on the day before the declared arrival date, unless the offer terms provide otherwise.
- If cancellation occurs after the deadline in section 13 or the Hotel Guest fails to arrive on the declared arrival date, the Hotel Guest must pay a reservation fee, unless the reservation was made under an offer with different rules.
§3 HOTEL DAY AND STAY PERIOD
- Hotel rooms are rented by the day.
- The hotel day begins at 15:00 and ends at 11:00 the following day.
- If the Hotel Guest does not specify the stay period when renting the room, the room is deemed rented for one day.
- A request to extend the stay or hotel day must be made at Reception by 9:00 on the original departure day. The Hotel will accommodate it subject to availability.
- If an extension is approved, the Service Provider may charge:
• until 13:00 – free of charge
• until 16:00 – half the daily room rate
• after 16:00 – daily rate without breakfast - The Service Provider may refuse to extend a Hotel Guest’s stay if the current stay has not been paid in full or these Rules have been breached.
- If a Hotel Guest does not leave the room after the stay ends, the Service Provider may have the Guest’s belongings packed by at least two of its representatives, one of whom must be a Director or Department Manager. The packed belongings will be held in the Hotel’s deposit and may be collected at Reception.
- A request to shorten the stay must be made by the Guest at Hotel Reception by 12:00 on the day before planned departure. Otherwise, the next hotel day is deemed to have begun, unless the purchased offer rules provide otherwise.
§4 CHECK-IN AND STAY
- Check-in requires presenting a photo ID to Reception staff and signing the registration card.
- The Service Provider may refuse to check in minors travelling without a guardian.
- The Service Provider may verify minors’ identities and their relationship with an adult guardian. If the adult is not a parent or legal guardian, written parental/legal guardian consent for the minor’s stay must be provided. If the relationship cannot be documented, the Hotel may refuse check-in.
- The Service Provider may pre-authorize a payment card or collect payment for the entire stay during check-in.
- Stay-related additional charges must be settled by the Hotel Guest by departure day.
- If all stay-related charges are not settled, the Service Provider may charge the Hotel Guest for all services and goods provided and any damage caused.
- A Hotel Guest may not give the room to another person without that person first checking in at Reception, even if the paid stay period has not ended.
- Persons not checked in at the Hotel may stay in the room only after the Hotel Guest informs Reception, and only from 7:00 to 22:00.
- Quiet hours at the Hotel are from 22:00 to 7:00.
- The conduct of Hotel Guests and persons using Hotel Services must not disturb other Guests’ peaceful stay. The Service Provider may stop providing Services to anyone who breaches this rule.
- The Service Provider may refuse to accept a Hotel Guest who, during a previous stay, seriously breached the Rules by damaging Hotel or Guest property, injuring a Guest, Hotel employee or other person at the Hotel, or otherwise disturbing Guests’ peaceful stay or Hotel operations.
- The Service Provider may refuse to accept a Hotel Guest for other reasons than those stated above.
- Smoking tobacco products and e-cigarettes is strictly prohibited in the Hotel, including room balconies and terraces and adjoining outdoor areas.
For each breach, the Hotel Guest may be charged a PLN 500 penalty and the cost of calling services automatically alerted by the fire system.
The only designated smoking area is outside the Hotel’s main entrance. - For safety reasons, the Service Provider informs that video surveillance has been installed in publicly accessible areas of the property (Reception, lobby, restaurant, fitness area, pools, corridors, conference centre and outdoor areas).
- Appropriate covered clothing is required in the à la carte and breakfast restaurants and lobby bar; swimwear and bathrobes are prohibited.
- Consumption of own or externally ordered food and beverages is prohibited in dining areas.
§5 SAFETY
- An evacuation plan is provided in every room, and Hotel Guests must read it.
- The Hotel has an audible warning system which, in an emergency, provides instructions on required actions. Hotel Guests must strictly follow the instructions given in its announcements.
- If a fire is noticed, the Hotel Guest should, if possible, press the nearest fire alarm button and proceed directly to the nearest exit, following the directional evacuation signs.

- When the fire service arrives, command of the operation is assumed by its commander.
- A room safe is provided. Guests are advised to store documents, cash, securities, valuables, and items of scientific or artistic value in it. Items may also be deposited in the hotel safe at the main reception.
- The Service Provider is not liable for loss of or damage to items placed by Hotel Guests in the room safe, unless such liability arises under mandatory legal provisions.
- Riding scooters, ride-on toys, bicycles, roller skates or skateboards is not permitted in the Hotel.
- The Service Provider is not liable for items left in the self-service lockers in the conference and wellness areas.
§ 6 HOTEL SERVICES
- The Service Provider provides Services meeting the Hotel's category standard. Hotel Guests are asked to report any concerns about the quality of Hotel Services to Reception as soon as possible, enabling prompt action by Hotel staff.
- The Hotel must provide:
• conditions for relaxation,
• safe stays and personal data protection,
• professional and courteous service for all Services provided by the Hotel,
• room cleaning and necessary equipment repairs during the Hotel Guest's absence, and in their presence only with their consent,
• additional room cleaning beyond once per stay day, on request, for an extra fee of 200 PLN,
• technically sound service; if faults cannot be repaired, the Hotel will make reasonable efforts to mitigate the resulting inconvenience,
• in the above case or when repairing damage, the Hotel Guest waives claims and rights to compensation. - The Hotel provides the following services included in the stay price:
• room cleaning once per day of the stay,
• information related to the stay and travel,
• wake-up call at the requested time,
• internet access,
• storage of valuables during the Hotel Guest's stay in the hotel safe located behind Reception, in accordance with the Civil Code,
• luggage storage (the Hotel may refuse luggage storage outside the Guest's stay dates or for items not constituting personal luggage),
• ordering transport services. - At the Hotel Guest's request, the Hotel provides the following paid services:
• catering services, including room service and minibar,
• spa and wellness services,
• document scanning, copying and printing,
• laundry and ironing
• parking space rental. - The Hotel offers access to its SPA and Wellness area. Use of the SPA and Wellness area is governed by separate regulations available at Hotel Reception, SPA Reception and on the Hotel website. Hotel Guests should read these regulations before using the services and comply with them.
§ 7 PARKING
- Parking areas (Hotel Parking) are located on and off the Hotel property; use is subject to an additional fee. The Hotel does not guarantee parking space reservations.
- The Hotel Parking fee is specified in a separate services price list.
- The Hotel Parking is monitored but unattended.
- The Service Provider is not liable for damage to or loss of a car or other vehicle belonging to a Hotel Guest.
- The Service Provider is not liable for items or animals left in a vehicle, whether parked in the Hotel Parking or elsewhere on the Hotel property.
- Use of the Hotel Parking is governed by separate regulations available at Hotel Reception.
- Entering restricted areas may result in an additional penalty of 1000 PLN.
§ 8 ACCEPTANCE OF ANIMALS
- Subject to this paragraph, Hotel Guests may stay at the Hotel with companion animals during their stay.
- The Hotel Guest must obtain the Service Provider's consent for the animal's stay when making the reservation.
- Only domestic animals, such as dogs and cats, may stay at the Hotel. The Hotel reserves the right to refuse animals of species or breeds commonly considered dangerous or aggressive.
- The animal-stay fee is listed in the Hotel's current price list for additional services.
- The Hotel accepts healthy, dewormed animals with health records showing current mandatory vaccinations. The Hotel may request the animal's health record and refuse sick or convalescing animals.
- A Hotel Guest who owns a dog must clean up after it on the Hotel premises and surrounding area. Cat owners must provide a litter tray with sand or litter.
- All damage to Hotel or other Guests' property, and soiling requiring additional staff work, caused by an animal will be assessed by the Hotel and charged to the accompanying Hotel Guest.
- The Hotel Guest is responsible for ensuring that their animal remains quiet and does not disturb other Hotel Guests.
- In public areas, the Owner must keep the animal on a leash or in a suitable carrier. Animals may not be on chairs, armchairs or sofas, or directly on the laps of guests seated at tables in the restaurant or lobby bar.
- Animals are prohibited from the indoor and outdoor children's playgrounds, the spa & wellness area and the gym.
- Animals are prohibited in dining areas where breakfast and buffet dinners are served.
§ 9 SERVICE PROVIDER'S LIABILITY
- The Service Provider is liable for loss of or damage to items brought by Hotel Guests using the Services, to the extent specified in Articles 846–849 of the Civil Code, unless the parties agreed otherwise, in particular in the Services Agreement.
- The Hotel Guest should notify Reception of any damage immediately after discovering it.
- The Service Provider is not liable for theft of money, or theft, damage or destruction of securities, valuables, or items of scientific or artistic value, if these were not deposited by the Hotel Guest in the hotel safe behind Reception or in the room safe, unless such liability arises under mandatory legal provisions.
- The Service Provider reserves the right to refuse hotel safekeeping of high-value items (over 50,000 PLN), large sums of money (over 50,000 PLN), items posing a safety risk, and oversized items that cannot fit in the safe.
§ 10 LIABILITY OF THE HOTEL GUEST AND CLIENT
- The Hotel Guest is also liable for damage caused by persons under their supervision (i.e. minors), persons brought into the Hotel by the Hotel Guest, and animals (pursuant to §8).
- The Client is jointly and severally liable with the Hotel Guest for damage caused by Hotel Guests using Hotel Services under the Services Agreement, subject to its relevant provisions.
- Unless this Regulation or the Services Agreement provides otherwise, the liability of the Hotel Guest and, respectively, the Client for damage caused to the Service Provider, other Hotel Guests, Hotel staff or any third party is governed by the Civil Code.
- Hotel Guests staying at the Hotel with children under 18 must provide constant supervision, including ensuring that the children remain at the Hotel in the presence and care of a Hotel Guest.
- After checking in, the Hotel Guest should inspect the room equipment and keep it in unchanged condition. Any destruction, damage, deterioration or malfunction should be reported to Hotel Reception immediately. If no such report is made and Hotel staff identify such damage or malfunction, the Hotel Guest will be financially liable for the damage, as separately assessed.
- Paragraph 5 also applies if the Hotel Guest notices any destruction, damage, deterioration or malfunction of the room equipment during the stay.
- The Service Provider reserves the right to charge the Hotel Guest's payment card an amount equal to the compensation due for damage caused by the Hotel Guest and identified after departure. If the card cannot be charged, e.g. due to missing card details, the Service Provider may seek compensation from the Hotel Guest by any legally permitted means.
- If the Hotel Guest breaches the Regulations, the Service Provider may refuse to provide further Services and require the Hotel Guest to leave the Hotel. The Hotel Guest must immediately comply, settle payment for the stay and other Hotel Services and, where applicable, pay compensation for damage caused and leave the Hotel.
- The Service Provider has a statutory lien on items brought into the Hotel by the Hotel Guest, securing claims for fees, remuneration and compensation due for Hotel Services provided.
- The Hotel Guest acknowledges the provisions and is liable for breaches specified in the annex to the Regulations entitled “Penalties”, which forms an integral part thereof.
§ 11 RETURN OF LEFT ITEMS
- Items left in the hotel room after the Hotel Guest’s departure will, upon the Guest’s instruction, be sent to the address indicated by the Guest at the Guest’s expense.
- Without such instruction, the Service Provider stores the items for three months. Thereafter, they are deemed abandoned and become the Service Provider’s property, which may in particular donate them to charity.
- Food left by the Hotel Guest in the hotel room will be disposed of during room cleaning.
§ 12 ADDITIONAL PROVISIONS
- The Hotel charges a local fee in the amount required by applicable law.
- Possession and use of illegal narcotic substances is strictly prohibited in the Hotel.
- Dangerous items, i.e. weapons, ammunition, flammable or incendiary materials, etc., may not be stored in hotel rooms.
- Hotel rooms use an access-card system. A lost card incurs a one-time fee of PLN 50 gross.
- Guests’ personal data is processed to provide Hotel Services. The data controller is Hossa.biz Sp. z o.o. Full information on the Hotel’s data policy is attached to these Regulations and available at www.radissonblusopot.pl and Reception.
- Soliciting, itinerant selling and other profit-making activities are prohibited on Hotel premises.
- Excessive noise, unpleasant odours and other activities disturbing, harming or irritating other Hotel Guests are prohibited on Hotel premises.
- Hotel Guests may not alter hotel rooms or their furnishings, except for minor repositioning that does not impair their functionality or Guest safety.
§ 13 COMPLAINTS AND DISPUTES
- Any comments regarding the stay should be reported to Hotel Reception (by phone or in person). Hotel management will address them immediately.
- Complaints concerning Hotel Services must be submitted by Hotel Guests in writing to: info.sopot@radissonblu.com
- They should be submitted immediately after the event giving rise to the complaint, and in any event no later than 3 days after that event and no later than 14 days after the Hotel Guest leaves the Hotel.
- The Service Provider reviews the complaint and informs the Hotel Guest in writing by email to the address stated in the complaint within 14 days of receipt. If this is not possible within 14 days, the Service Provider will notify the Hotel Guest of the delay’s reasons and the expected review date.
- Hotel Guest–Service Provider disputes shall be resolved by court competent for Service Provider’s registered office.
§ 13 AMENDMENTS TO THE REGULATIONS
- Service Provider may amend these Regulations.
- An amendment takes effect when the amended Regulations are published at www.radissonblusopot.pl and made available at Hotel Reception.
